SUBJECT: CORONAVIRUS PANDEMIC
Introduction
These are challenging times, but I am so appreciative of our employees during these extraordinary times. We are taking proactive steps to deal with several business concerns in light of COVID-19 epidemic and the fact that the virus is also widespread. First and foremost, we want to adopt and encourage practices of safeguarding the health of visitors, staff members, clients and other people and maintain a safe workplace. During this pandemic, we also want to ensure business operations’ continuity. We request all staff members to cooperate in taking steps to minimize the COVID-19 transmission in our offices. Staff members are reminded of the following:
- Work from home if possible.
- For at least twenty seconds, wash your hands regularly with soapy and warm water.
- Wear a mask at the workplace.
- Regularly clean touched surfaces.
Discussion
I want to inform you of the following plans:
We plan to continue the temporary work-from-home policy for those employees who have been approved to do so. Social distancing is critical at this time as our health experts have informed us. The plan will remain in place until the country goes back to normal, or until the state health departments and the CDC recommend that it is now safe to go back to work. Staff members must not report office while they are experiencing respiratory symptoms like fatigues, chills, headaches, body aches, stuffy or runny nose, sore throats, breath shortness, cough, and fever. CDC currently suggests that staff members work from home until they are free from respiratory symptoms. The company is now offering telework arrangements. We will consider requests from employees to work from home during this period on a case-by-case basis. Those job positions with crucial job duties that can be efficiently carried out remotely shall be given consideration, even though not all posts will be favourable to telework.
Over the last few days, we have been working with the unions to ensure we have plans in place to keep the chemical and fuel facilities, power plants, wind farms running. Each of the facilities will be communicating those plans at the respective sites.
In the common areas and throughout the workplace, the company shall offer alcohol-based sanitizers. Also, wipes and cleaning sprays shall be provided to disinfect and clean regularly touched surfaces and objects like keyboards and telephones.
Rather than a one-on-one meeting, employees are encouraged to use video conferencing and telephone as much as possible during this outbreak. Services of IT support are available to staff members who need help with these technologies. The Learning Management System is available on-line for employees and supervisors who want to research available courses. More information will be available on the website.
Employees many times report to work with best of intentions even though they feel unwell. To compensate employees are not able to work because of illness, the company provides paid sick time and other benefits. According to health guidelines, employees who report to workplace sick shall be sent home.
Conclusion
I know that none of us wants another depressing year like this year. Therefore, get out there and encourage participation in the work from home program. We are also planning monthly appreciations where the awards will be provided to the employee of the month.
