Report writing is a complicated task; hence, certain qualities of an impressive report has to be followed to come up with an effective work report. A good report contains factual information that is needed by interested individuals in the workplace. Reports are normally utilized by organizations and businesses. The reports include; research reports, investigation reports, progress reports, etc. Depending on the type of the report, the style, tone, structure, and format usually vary.
The work reports drafted with mistakes, for example, grammar and punctuation errors can make the business seem unprofessional. On average, the reader’s attention is captured in the first 6 seconds as they read through the report. It is vital that readers’ such as customers and investors first impression isn’t of a grammar error. Such errors can make the report to be misinterpreted or misunderstood. This can ruin the image of the company hence customer and investors can shift to another company. Errors made in a report affect the intelligence, reliability, and credibility of the business, therefore, affecting the image of the company negatively. Mistakes on internal reports can create uncertainty, mistrust among employees.
A good report writer should have the following qualities;
- Understandably availing accurate information.
- Clear and concise about the exact purpose of the report clearly stating the research, analysis, and recommendations.
- Ability to aid others and has a positive attitude.
- Timekeeper; able to prepare and present a report within the stipulated time.
At my workplace, I was once tasked to write a report about the causes of stress and depression among employees. Since I was among the employees, it was quite simple because I could easily interact with them as I found out the points needed for the report. For the elder employees, I was very cautious since they were mainly affected by depression. My main focus was to find the causes and the remedies to stress and depression at the workplace. The report was in a welcoming and positive tone that it built a good recognition and reputation for me.
