Hiring cleaning service

The organization is looking to hire a cleaning service for the company premises. The company has, for the longest times, been dependent on cleaning services that were delivered in intervals. The intervals between successive cleanups, however, was irregular, and the service provider kept changing from time to time, which was stressful in terms of organization, and was expensive at times due to the different rates. As a result, the company opted for a more permanent option, and settled on a private organization called Spick for life that offered all inclusive services at a cheap rate. The cleaning company should be a more permanent option, for at least a year, depending on the terms they agree to. The hiring of the cleaning service will be facilitated by the Human resource department, which is the primary wing when it comes to the hiring, firing, and promotion of employees. The Human resource department will be the sole handlers of the whole hiring process, including sourcing the most suitable cleaning company for the job, the determining of their payment rates, the review of their performance based on the conditions stipulated in the contract, terminating the contract and, most importantly, formulating the contract.

As stated earlier, the purpose of hiring the cleaning service will primarily be to offer more permanent means for the company, since the previous cleaning companies that served under no contract opted out after short period. This resulted in a congested, dirty working environment that was not suitable for the service delivery of our employees. Hiring the cleaning service under contract will ensure a cleaner office space, more conducive for the employees for overall greater productivity.

The purpose of the contract will mainly be to stipulate the duration and terms of termination of the services. The contract, at the same time, will clearly outline the roles of the cleaning company, which ought to be delivered to the agreed to standards for the continuation of the contract. The cost incurred by the services will also be detailed, as will be the pay owed to the cleaning service company after the agreed to intervals. The total pay owed to the company will be delivered only upon the completion of the assigned duties and within the period given. The general code of conduct of the employees affiliated to the cleaning services while in the company premises will also be detailed in the contract. This measure is to ensure maximum productivity for both sides, the cleaning service and our company employees, in such a way that one will not directly affect or interfere with the workmanship of the other. Any interference and consequent drop in productivity caused by either party will be looked into and upon further consultation, appropriate penalties accorded to the guilty party. The contract is important as it is binding, meaning the services will be offered constantly, and they can be legally enforced, therefore the cooperation of both parties in the agreement is agreed (Swaab, 2014).

The cleaning service was chosen with some well-set objectives in mind. The primary objective of the cleaning service will be to maintain the highest standard of cleanliness within the working space of the organization for the period they are tied to the contract. This, in turn, will hopefully satisfy the company’s own objective of achieving maximum productivity from each employee and ensuring the attainment of their goals within a conducive, friendly environment. The other objective of the cleaning company will be to ease movement of employees within the working spaces and reduce the risk of displacement of important equipment while ensuring better accessibility to them, through organization of the objects within the offices.

The contract between the organization and the cleaning service will be an express contract. An express contract refers to one that out-rightly details the conditions of the contract to be fulfilled by both parties (UpCounsel, n.d). In this case, as stated earlier, our contract will contain all elements such as the duties of the cleaning service, the pay after certain intervals, their objectives, and the terms of breach of contract or termination of one. This is intended to put both sides at an acceptable level of knowledge throughout the duration of the contract, and this mutual level of understanding will breed higher productivity between the two.

The main areas that need working on by the cleaning service within the organization’s premises are the break room, the main entrance hallway, the respective floor hallways, the lavatories, the work space, the enclosed offices and their respective lavatories, the front lawns of the building, and the recreation area. The type of work needed on each will vary depending on the type of surface and the type of equipment in them. Majority of the indoors space consists of tile-covered floors which would only need mopping. The enclosed offices have carpeted floors and will require both vacuuming and mopping thrice a week. The rest of the indoor working space will need just the mopping, at least thrice a week. The lavatories will be cleaned daily. The front lawn of the building will require some trash-picking and mowing after every week.

The schedule will be per week, with the cleaning services been rendered at least thrice a week for the respective indoor work spaces, while the outside lawn will require tending on a weekly basis. For the indoor working spaces, the timing of the clean-ups will also vary. For the lavatories, for instance, the cleaning will be done on a daily basis, starting in the morning and at intervals of three hours thereafter. The offices, on the other hand, will be cleaned after working hours, when the offices have cleared. The hallways will be cleaned in the afternoons.
