Can Critical and Creative Skills Solve Organizational Problems?
Introduction
Different organizations, companies, and businesses worldwide have various methods of running their operations. Through these exclusive methods, these types of organizations can achieve proper and well set organizational goals. Therefore, these multiple goals would act like a big deal to organizational success at large. Among the various inputs and exclusive systems required by multiple companies include the knowledge management system. Knowledge is essential in an organization as it plays a vital role in the production process. Knowledge management often relates to human resources within an organization (RaudeliA and DavidaviA, 2018, p543). The knowledge management system is an OK structure IT system that provides storage and retrieval of organizational knowledge. The retrieved corporate experience in return helps improve the various understanding, collaborative, and process alignment concepts. With a knowledge management system in any organization, different set goals and targets are hence achieved. The system can also be used as other centers of knowledge bases for the various clients in a business. Therefore, knowledge management is a multi-disciplinary approach used by an organization to attain organizational objectives while making fair use of multiple knowledge streams. Therefore, my paper seeks to look into providing a work proposal on knowledge management that the finance department of Omani Company could use to better their organizational performance.
Omani company has had various approaches to various internal management concepts. There are three main approaches to internal knowledge management. However, Omani Company, in the recent past, has been observed to be following the practice approach. The practice approach of internal knowledge management portrays a significant amount of organizational is more tacit. The practice approach also insinuates that an organization’s knowledge and understanding do not rely on formal processes, controls, and technologies. These traditional technologies’ processes and controls are not suitable for the success of the organization or company.
The practice approach has mainly focused on creating and building social environments and various communities of practice required to help share tacit understanding and neglected multiple systems that can be used to manage different aspects of knowledge (Abouloush et al., 2018, p 303). Omani company, therefore, has resorted to Communities of Practice (COPs) that are various groups of individuals, supposedly the employees of the company who come together informally. In recent times, Omani Company’s employees have been urged to work together to help attain cohesiveness, teaching each other various concepts that the other colleagues are not well-versed with and share different experiences. The diversity of the employees in Omani Company has helped favor the organization’s success that has boosted production and efficiency in the organization at large. Omani Company has created various sites on the web to help practice these techniques virtually. Omani Company was seen long ago to adopt this type of approach due to its providence of high quality customized solutions to various unique and technical problems.
The approach has been seen to produce accurate and better results for the organization swiftly. With the valuable nature of the information at Omani Company mainly implicit in nature, they make it very tedious for the individuals to express, capture and provide management of the said information or data. In most cases, a situation in the organization arises where the environment and the nature of the problems at Omani Company are more dynamic. Knowledge at the organization is transmitted from one person to the other through person to person contacts. Therefore, the company has resorted to better collaborative methods of data comparing like Lotus Notes and e-mails to help the employees in the organization communicate efficiently. Due to the problematic nature of the tacit information that the organization deals with during extraction, storage, and management, the knowledge is seen to find appropriate solutions to how various experience is made available to multiple sets of employees and individuals who might need it. For efficient working of this approach, Omani Company has invested heavily in various initiatives, building networks of different individuals and communications technologies, including mobile phones, video conferencing, and e-mails. Through this set of tech innovations, multiple employees can meet virtually and efficiently carry out various organizational activities anywhere, anytime.
With the growth of different sectors today, it is efficient for other teams in an organization or company to be kept together. The proposed plan, therefore, would entail the following practices at Omani Company. The project would involve maintaining the organizational culture and helping build or create a proper and robust foundation for the corporate cultures, which would be supportive of the process of knowledge management and the various methods implied. Appropriate and suitable infrastructure development would be crucial and very essential to the success of the plan (Bolisani and Bratianu, 2018, p 33). Omani Company would have proper and reliable support systems and teams with various structures and employees collaborating to help achieve the set organizational goals and targets.
Appropriate measures would help develop multiple organization processes to help design transformational change to the said Omani Company. Among the most important ones would be technology. In recent times, Omani Company has produced advanced technological scales that have aimed at creating better results for the organization. Therefore, technology has boosted the organization positively by offering significant advantages to help manage explicit knowledge that is used as a collaboration tool and, in most cases, as an expert locator. However, technology should not be misused in the organization to perform specific roles and duties that are not in line with the organizational standards and rules.
There are exclusive features, acts, and processes that need to be well taken care of to complete the proposed plan. The organizational structure at Omani Club needs to be effectively put into shape. Through proper organizational change, the management of Omani Company can help transform the company positively. Introduction of various anomalies that help challenge different accepted premises of the administrative process, the government influences the company company’s employees and the organizational members to forgo certain aspects and practices in favor of many others. Therefore, one of the critical roles of this approach is to help in the creation of an ethical organizational culture where knowledge sharing is seen to be beneficial and not detrimental. Proper retention of various prospects in the organization would also be very efficient (Barao et al., 2017, p 738). Through decent knowledge retention, the company stores multiple essential aspects and assets of the firm to remain with them.
Therefore, proper strategies have been adopted at Omani Company that has been experienced when an employee retires. Knowledge retention, therefore, proposes the importance of an organization to know the different organizational pieces of knowledge that are seen to be under various risks. The task would be considered complete when the Omani Company practices proper and efficient timeline external networks. Some of these external networks include multiple suppliers, customers, and competitors. Knowledge management, therefore, plays a huge role in assessing various important and potential partners. Knowledge management, thus, is seen to be an extensive process that spreads out throughout multiple organizations. With its diverse scope challenging to describe and its effects hard to measure, the process can promote efficiency, innovation, learning, and competitive advantage.
When practicing knowledge management in any organization, it is crucial to focus on the importance of knowledge and information in the various types of organizational systems. Knowledge management is vital and essential in a business as it helps in the formation of different structures properly for any business setting. Knowledge helps in the organization as it is a very critical factor when it comes to a decision-making process in an organization (Weinreich and Groher, 2016, p 279). Any organization with the right channels of real knowledge experience success as various organization employees have access to different organization expertise that helps to ensure adequate flow of information and knowledge within the organization. Therefore, knowledge management in an organization is deemed essential as it helps speed up various access to different information and knowledge.
Knowledge management has been seen to help ease the information-finding process and promote efficiency and better productivity, allowing various organizational employees to work better hence reducing repetition. Through knowledge and information in an organization, there is an improved process of how different corporate decisions are made (Korimbocus et al., 2020, p 576). Employees are seen to improve the speed and quality of making decisions by having access to the different types of knowledge in the organization any time they need it. Enterprise collaboration, therefore, provides a medium where experiences of various people are shared to help contribute to additional measures of the multiple choices and decisions made in the organization. Various information systems in an organization have brought positive changes and transformations in the said organization. The information has aided in the behavioral growth in different aspects of Omani Company. Omani Company has effectively implemented various business information systems to provide useful and better communication services to employers and employees. Therefore, the focus of any knowledge management practice in an organization should solely rely on both information and knowledge.
Different organizations have different ways in which various knowledge is captured in the organization. Knowledge capture is described as how diverse ability is converted from tacit knowledge to explicit form. It is the process of transforming the experience from humans to various codified systems. These forms are mostly seen to be residing in different people, organizational entities, or artifacts. A look at the multiple ways in which knowledge during emergencies like COVID 19 can be captured includes numerous ways.
Data capture entails the process of collecting knowledge that is meant to be used for specific purposes. The researcher can get useful data or information by learning or being told. COVID 19 has spread globally, and different stakeholders have taken the initiative to offer various teaching services and the creation of awareness to various individuals globally who have slowly learned important information on the coronavirus. The following are some of the two best ways in which data can be captured.
Phone-based interviews could be one of the best and efficient ways to capture data on the coronavirus. With the virus well known to be shared through contact, phone interviews protect both parties in the interview against contracting the deadly virus. The phone-based interviews are seen to be very efficient and advantageous as they provide quality comparable information and results like the face to face interviews (Ganguly, Talukdar and Chatterjee, 2019, p 198). The phone process is also much cheaper than other methods like the enumerator model that requires much more costs.
Webforms are also seen as reliable sources as there is no physical contact between the individual being interviewed and the interviewee. Therefore, the webform model has been experienced to work without any enumerators, with the respondents straightly answering the questions directly. The webform process is also advantageous because it is easily crowdsourced hence a proper collection of maximum data with minimal resources.
Some of the best tools and technologies used to store data and share captured knowledge include the following. The implicit information collected during research can be stored in the following best appropriate ways. First, proper management of this information is essential to the establishment of proper and crucial organizational culture (Perez et al., 2019, p 189). Therefore, some of the various methods used to store these data include having multiple informal and formal meetings, various mentorship programs, training programs, conferences, seminars, and different simulated exercises that could help transfer the information. When it comes to the coronavirus’s spread, it would be deemed very necessary to hold all these events online or virtually to help curb the transmission of the virus.
The various informal and formal groups in different workplaces help the other employees search for and acquire guidance from their colleagues. Therefore, the acquired tacit knowledge can be adequately stored through various documentation techniques like user guides, presentations, and case studies, among others. Various proper social associations in the workplace, like appropriate employee collaboration with different exclusive software, social media, and other efficient digital platforms, help the storage of the various tacit knowledge collected. A healthy of multiple essential and critical data and information is helpful in any organizational setup (Kim and Godfroid, 2019, p 650). These data provide references and guides for future activities and processes to give the said organization better performance.
Tacit knowledge or information is a form of info or knowledge that is quite tedious to transfer to another individual through writing or verbalizing it. However, explicit knowledge is a type of experience that can be easily articulated, coded, and stored to be accessed then or in the future. Both implicit and exact types of knowledge have been essential to the growth and success of various organizations. The following are some of the advantages of tacit knowledge in an organization. Tacit knowledge has promoted proper and efficient organizational communication. Tacit has achieved effectiveness due to its simplicity in nature as it accommodates everyone. Team members in any organization or employees find it easier to pass and acquire this information and knowledge. Tacit type of expertise has helped organizations like Omani Company be positively different from other organizations in the competing markets. The ability to store and share various tacit information has enhanced better equipment of the organizational goals that promote the customers’ servicing, equipping them with different solutions to their problems and issues.
Explicit knowledge is also advantageous to an organization in a way that it can be found in any form of data, be it documented or not. Explicit knowledge is simple compared to tacit knowledge, and the information shared can be quickly shared from one individual to another without much time taken. Explicit knowledge provides improved organizational agility with better and proper decision making. Through explicit knowledge, better and faster decisions are made in the organization. Through faster decisions made, there is an increase in the rate of innovation (Federico et al., 2017, p 99). Employees are often supported in their personal and group development that would help boost organizational performance: explicit information and knowledge help achieve and promote better communication in organizations and improve various business processes.
Conclusion
In summary, my paper looks at some of how knowledge management is practiced at the Omani Company. With knowledge management being a crucial indicator of any organization’s success, this practice’s acquiring has enabled the organization to grow efficiently. Hence, the company has been able to protect both its internal and external knowledge that has resulted in positive achievements. Proper tools of storage and transmission of data and information are also essential in the knowledge management process.
