All-in-one printer
I am writing to propose an all-in-one printer for the office to increase the efficiency of the office operations. The problem that is warranting the acquisition of this equipment is the excessive time spent preparing documents in the office, thus reducing the office’s effectiveness.
Therefore, I suggest the purchase of an all-in-one printer, which can simultaneously carry out photo printing, faxing, photocopying, and scanning, thus reducing the amount of time spent while shifting from one single purpose machine to another.
The operations of this office entail a lot of paperwork, which represents the most substantial proportion of all the activities carried out every day. The machines used currently can only perform a single operation, thus requiring one to shift from one device to another depending on the nature of materials to be prepared. Besides making the operations time consuming, the machines also occupy an ample space in the office that limiting the office space that could be utilized for other operations. Furthermore, some machines have become obsolete, thus requiring an urgent replacement to meet the quality of materials per the current standards.
The proposed all-one printer will meet the office requirements due to the following reasons. Firstly, it will provide a single support center by its ability to combine several operations as previously outlined. Secondly, it will help in saving the office space since it will lead to the elimination of single operation machines. Lastly, it has low maintenance needs compared to the maintenance required for the four devices used now. The acquisition of this equipment will cost the office approximately $590 to $800, which much less than replacing the current machines used in the office.
In conclusion, the acquisition of this equipment will make office work more comfortable, faster, and of good quality besides saving on cost and space. Therefore, office efficiency and effectiveness will be guaranteed.
