Organizational communication problem

Communication is an important aspect of the community. It can be referred to as the transmission process of data and common understanding from one individual to another. Many people agree that life rotates around relationships (Tseng, Chiu & Liang, 2018). Organizations that encourage openness between those who are in high positions to subordinate staff may have a lesser turnover of employees. In addition, they can also have fewer arguments hence leading to the attainment of the organizational goals. I have worked in many organizations and I have noted a common trend whereby policies or regulations of organizations are not followed in various locations because the policies are not communicated effectively by the central office. Some will see this as neglecting employees and it will also create negative feedback about the organization. This could lead to a lack of trust and confidence in the organization (Schwartz, 2016). This issue could also contribute to the failure of the organization if it persists. Therefore it is important to communicate with employees effectively so that the goals of the organization can be attained in time.

Ethical Model

This is a logical process that is needed to minimize the emotional effect on the ability of decision-makers to think reasonably. It is essential to include the client in the decision-making process so that they can see that you are not making a decision based on emotions and not deciding on their behalf (Reymen et al., 2017). The process must be collaborative and cooperative. In addition, this model has some steps. They include:

  1. Problem identification-This includes finding out if the problem is there. The nature of the issue needs to be identified.
  2. Looking out for the potential issues- This is the second step. It involves evaluating the decisions that can improve the welfare of those who are involved.
  3. The third step is to assess and review important codes of ethics.
  4. Comprehend the laws and policies that are meaningful to the situation.
  5. Consultation from experts
  6. Paying attention to all possible and probable course of action
  7. Analysis of the possible impacts of the decisions before executing them.
  8. After gathering and evaluating the information, choose the best alternative, and ask for the feedback.

Recommended solutions

Using the ethical model, the management of the organization must first identify where the problem is. For instance, if the policies are not followed, there must be a root cause of this issue. The communication is not effectively done hence that is where the problem has risen from. Therefore, there must be an explanation as to why there was no better communication from the central office.

Furthermore, the organization must lookout for potential problems and analyze rights, duties, and evaluations of the decisions that are made so that they can identify the person who did not communicate well with other departments (Kulkarni, Robles-Flores & Popovič, 2017). Ineffective communication endangers the organization which in turn poses harm to the clients and the organization itself. The third step the organization needs to do is to do an assessment and review important ethical codes that explain ethical principles that help in governing the decisions and behavior in an organization. The next step is to understand the laws and regulations that relate to the situation at hand. This will help them in solving the issue in a good way without conflict of interest.

Additionally, the organization must consult experts who are knowledgeable concerning the communication of policies so that they can be aware of how to handle employees in this kind of situation. The next step is to pay attention to all possible and probable courses of action. For instance, the organization must evaluate all the possible solutions that will enhance effective communication such as making the mission and the vision statement of the organization clear to all the members (Gati, Levin & Landman-Tal, 2019). This is a constant reminder of understanding the organizational goals and objectives. They will be able to communicate well with each other hence improving the relationship between the clients and the organization.

Additionally, after collecting all the information, the organization must analyze the possible effects of the decisions before its implementation.  This will bring positive effects like maintaining good relationships among departments. The organization must make all the information accessible to all employees. It will also help the employees learn this information by making internal documents to be referenced.

The last step involves choosing the best alternative and asking for feedback. For example, in this case, open dialogue will be essential as it will keep the employees up-to-date with the changes in policies and trends (Hao et al., 2017). Feedback is encouraged because the managers will be able to know the challenges that they are going through in the organization.

Through these solutions, the organization will be able to uphold its moral and ethical values thus improving teamwork. Working as a team simplifies that there is effective communication within the organizations.
